Require sign-off before a Form Notifications email is sent

Approvals put a person in the loop before a notification goes out. Instead of emailing your recipients immediately, Form Notifications first asks an approver to sign off.

Setting up an approver

  1. Open a rule and find the Approval section
  2. Click Require approval
  3. Enter the approver's email address and click Set

To remove approval later, open the same field and clear it (or use the ✕ on the approver).

What the approver receives

When a matching response comes in, the approver gets an email with the submission's details and two buttons: Approve and Reject.

  • Approve → your recipients receive the notification
  • Reject → nothing is sent to your recipients

The 7-day window

An approval request is valid for 7 days. If the approver doesn't respond in that time, the request expires and the notification is not sent.

Good to know

  • Each rule has a single approver.
  • Recipients are only ever emailed after approval — if the request is rejected or expires, they receive nothing.
  • Approval works alongside conditions: only submissions that match the rule create an approval request.
  • After sign-off, the email to your recipients is sent from Skyfield's mail servers rather than your account — see Sending & Delivery Limits.

Approvals and your subscription

Approval routes are part of the paid plan. During the free trial they work in full. When the trial ends without an upgrade, rules that require approval pause: matching submissions are logged in the history as skipped, and no approval request is sent. Ordinary notifications (rules without an approver) keep sending — only the approval step pauses. Upgrading resumes approvals for new submissions; paused ones aren't sent retroactively.
